Terms & Conditions

These Terms & Conditions ("Terms") apply to every trip, event, and experience sold or organized by BAKCHODS ("BAKCHODS", "we", "us"). By expressing interest, booking, paying a deposit, or attending, you agree to them. Please read them before you book.

1. Who we are

BAKCHODS organizes group travel experiences and social events. We act as the organizer of the group experience and, for trips, as an intermediary between you and third-party suppliers such as hotels, transport operators, venues, festivals, and local guides. Those suppliers have their own terms, which also apply to you.

2. Eligibility

You must be at least 18 years old to book or attend. Some trips state a target age range; this is a guideline for the group's vibe, not a legal restriction, and we may decline a booking that we believe is not a good fit for the group.

3. Expressing interest vs. booking

Submitting an "I'm interested" form or a message is not a booking and does not reserve a spot. A booking is confirmed only when we have received the required deposit or payment and sent you a written confirmation. Spots are limited and allocated in the order payments are received.

4. Prices and what's included

Prices are shown per person and, unless stated otherwise, are based on double-sharing accommodation. Each trip page lists what is and isn't included. Unless a trip page specifically says otherwise, the following are never included: international flights, visa fees, travel insurance, meals and drinks not named in the itinerary, local transportation within cities, optional activities, personal expenses, tips, and any applicable taxes such as GST or TCS. Prices may change until your booking is confirmed; confirmed prices will not change except where a government-imposed tax or fee changes.

Promotional offers (for example, "first 5 bookings get festival access included") apply only to bookings that meet the stated condition, are confirmed in writing by us, and cannot be exchanged for cash or transferred.

5. Payment

Payment terms, deposit amounts, and due dates are set out on the trip page or in your confirmation. If a balance is not paid by its due date, we may treat the booking as cancelled by you and the cancellation policy below will apply.

6. Cancellation by you

Unless a trip page states a different policy, the following applies to international trips:

  • Up to 41 days before departure: 50% of the total package cost is charged as a cancellation fee.
  • Within 40 days of departure: the booking is non-refundable, irrespective of the reason.
  • Visa rejection: 50% of the package cost is retained and the remaining amount is issued as a credit note valid for 12 months, subject to the trip-specific policy and proof of the rejection.

Cancellations must be made in writing. Festival or event tickets, once issued in your name, are non-refundable regardless of timing. Event tickets for city nights are non-refundable unless the event page says otherwise.

7. Changes and cancellation by us

Itineraries are plans, not promises. We may change hotels, order of days, activities, or timings for operational reasons, weather, safety, supplier changes, or festival scheduling; we will provide a comparable alternative where reasonably possible. If we cancel a trip entirely for reasons within our control, you will receive a full refund of amounts paid to us. If a trip is cancelled or materially changed for reasons beyond our control (including but not limited to natural events, strikes, government action, epidemics, supplier failure, or festival cancellation), we will refund whatever we are able to recover from suppliers, or offer a credit, but we are not liable for amounts we cannot recover or for costs you incurred separately, such as flights.

8. Travel documents, visas, and insurance

You are solely responsible for holding a valid passport, any required visas or transit documents, and any health or entry requirements for every country on the itinerary. We do not guarantee visa approval and are not responsible if you are refused entry or boarding. Travel insurance covering cancellation, medical care, and personal belongings is strongly recommended and, for some trips, required.

9. Your conduct

Our trips are built on people getting along. You agree to treat other travelers, hosts, suppliers, and locals with respect, to follow local laws and the reasonable instructions of your trip captain, and to take responsibility for your alcohol consumption. We may remove you from a trip or event without refund if your behavior is unsafe, abusive, discriminatory, harassing, or damaging to the group's experience. Any resulting costs are yours.

10. Health and fitness

You confirm you are fit to travel and take part in the activities listed. Tell us in advance of any condition that could affect your participation or that we should know about in an emergency.

11. Rooms and group composition

Rooms are allocated on a double-sharing basis unless otherwise stated. Requests for two separate beds are passed to the hotel but cannot be guaranteed. We aim for a balanced, diverse group but cannot guarantee a specific gender ratio, group size, or that any particular person will attend.

12. Photos and video

We take photos and videos on our trips and at events for social media and marketing. By attending you consent to appearing in them. If you would prefer not to be featured, tell your trip captain or host at the start and we will do our best to leave you out of published material.

13. Liability

We take reasonable care in selecting suppliers, but we do not own or operate the hotels, transport, venues, or festivals on our itineraries and are not liable for their acts or omissions. To the fullest extent permitted by law, our total liability to you in connection with a booking is limited to the amount you paid us for that booking, and we are not liable for indirect or consequential losses, or for loss, injury, or damage caused by events beyond our reasonable control. Nothing in these Terms limits liability that cannot be limited by law.

14. Third-party events

Where a trip includes access to a third-party festival or event, that access is subject to the event organizer's own terms, entry rules, and any changes they make to line-ups, dates, or venues. BAKCHODS is not affiliated with, endorsed by, or acting on behalf of any such organizer unless we say so explicitly.

15. Complaints

If something goes wrong during a trip, tell your trip captain immediately so we can try to fix it on the spot. Any complaint after the trip should be sent to us in writing within 14 days of the end of the trip.

16. Changes to these Terms

We may update these Terms from time to time. The version in force when you book applies to your booking.

17. Governing law

These Terms are governed by the laws of the State of Georgia, USA, and any dispute will be subject to the courts of Georgia, unless mandatory consumer law in your country of residence says otherwise.
